Westpark Monthly (WM) Privacy Notice

This privacy notice tells you what to expect when WM collects personal information.t We may change this policy by updating this page. You should check from time to time to ensure that you are happy with any changes. This policy is effective from 25 April 2018.

Introduction

WM is committed to process any personal information it holds only in ways that are fair, transparently and meet its legal obligations, in other words, in accordance with the Data Protection Act and its successor the General Data Protection Regulations (GDPR). WM will take particular care over email addresses which in addition to the GDPR are subject to the Privacy and Electronic Communication Regulations (PECR).

Information WM processes

The following sections describe the information that WM collects and how it is processed. The sections are split according to the type of information.

Legal basis for processing

The legislation requires that there is a clear legal basis for processing personal information. In general WM relies on the individual’s consent in order to process their data. Where there are exceptions such as a legal obligation, contractual agreement or WM's legitimate interest, they will be noted below. Please note that if consent is withdrawn the level of service that we can offer might be severely curtailed.

Competition Entrants

We collect entrant's name, age, contact details (postal and email), SOBHD registration number and dance teacher's name together with details of the competition and section being entered so that the entrant can be entered in the relevant competition and events.

Email addresses

We will not use your email address to send you e-news and marketing items but may use it to contact you regarding the event(s) entered and trophy returns.

Data Retention

We retain competition entrant's data for a period of 1 year after the date of the event for which the data was provided. WM relies on legitimate interest as the legal basis for retaining this information.

Payments

PayPal is used to take payments. Only sufficient information to complete the payment is shared with PayPal. For more information see the Suppliers / 3rd Parties section of this Privacy Notice.

Website visitors

When someone visits toeandheel.com we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone.

Use of data processors

Data processors are third parties who provide services for us. We have contracts in place with our data processors. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will not share your personal information with any organisation apart from us. They will hold it securely and retain it for the period we instruct. The following is a list of our main data processors. There may be others from time to time.

Website hosting

We use a third party service, Joker.com, to host our website. Joker.com are contractually obliged to treat any information on our private website as confidential and only use such information for the purpose of providing us with web hosting.

PayPal

Where PayPal is used to take payments, only sufficient information to complete the purchase is shared with PayPal. WM does not see nor retain your credit card details since these are handled by PayPal.

International Data Transfers

Your personal information will be stored in the EU and in accordance with the GDPR. The GDPR applies to EU residents. If we share personal information of EU residents with suppliers or 3rdparties outside of the EU we will ensure that they meet the requirements of the GDPR. We are committed to complying with the data regulations of non-EU residents according to their jurisdiction.

WM has implemented technical and organisational security measures to protect your personal data against unauthorized access, loss or misuse.

Complaints or queries

WM tries to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously. We encourage people to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate. We would also welcome any suggestions for improving our procedures. This privacy notice was drafted with brevity and clarity in mind. WM tries to be as open as it can be in terms of giving people access to their personal information. Individuals can find out if we hold any personal information by asking. This is formally known as a ‘subject access request’ under the Data Protection Act 1998. If we do hold information about you we will: - give you a description of it. - tell you why we are holding it. - tell you who it could be disclosed to. - let you have a copy of the information in an intelligible form. To make a request to the WM for any personal information we may hold you need to put the request in writing to the address provided below. If you agree, we will try to deal with your request informally, for example by providing you with the specific information you need over the telephone. If we do hold information about you, you can ask us to correct any mistakes. We may make a charge of up to £10 for a request.

Disclosure of personal information

Except as described in this Privacy Notice we will not disclose personal data without consent.

Legal Obligation

We may disclose your information to governmental agencies or entities, regulatory authorities, or other persons in line with any applicable law, regulations, court order or official request.

Without expectation of compensation or other remuneration, now or in the future, I hereby give my consent to toeandheel.com and the Competition organiser, its affiliates and agents, to use my image and likeness and/or any interview statements from me in its publications, advertising or other media activities (including the Internet). This consent includes, but is not limited to:

(a) Permission to interview, film, photograph, tape, or otherwise make a video reproduction of me and/or record my voice;

(b) Permission to use my name; and

(c) Permission to use quotes from the interview(s) (or excerpts of such quotes), the film, photograph(s), tape(s) or reproduction(s) of me, and/or recording of my voice, in part or in whole, in its publications, in newspapers, magazines and other print media, on television, radio and electronic media (including the Internet), in theatrical media and/or in mailings for educational and awareness.
