This privacy notice tells you what to expect when THDA (referred to as "we", "us" or "our") collects personal information.
We may change this policy by updating this page. You should check from time to time to ensure that you are happy with any changes.
We are committed to processing any personal information we hold only in ways that are fair, transparent and meet our legal obligations, in accordance with the Data Protection Act and the General Data Protection Regulations (GDPR).
We will take particular care over email addresses which, in addition to the GDPR, are subject to the Privacy and Electronic Communication Regulations (PECR).
The legislation sets out various data protection principles. Personal information must be:
- Used fairly and lawfully
- Used for limited, specifically stated purposes
- Used in a way that is adequate, relevant and not excessive
- Accurate
- Kept for no longer than is absolutely necessary
- Kept safe and secure

The legislation requires a clear legal basis for processing personal information. In general, we rely on the individual's consent to process their data. Where there are exceptions such as a legal obligation, contractual agreement or our legitimate interest, these will be noted below.
Please note that if consent is withdrawn, the level of service we can offer might be severely curtailed.
We collect entrant's:
- Name
- Age
- Contact details (postal and email)
- RSOBHD registration number
- Dance teacher's name
- Details of the competition and section being entered
This information is used to process your entry into our competition events.
We will not use your email address to send you e-news and marketing items but may use it to contact you regarding the event(s) entered and trophy returns.
We retain competition entrant's data for a period of 1 year after the date of the event for which the data was provided. We rely on legitimate interest as the legal basis for retaining this information.
There are various forms on the website used to collect information. That information is only used for the stated purposes described in the relevant sections of this Privacy Notice.
PayPal is used to take payments. Only sufficient information to complete the payment is shared with PayPal. We do not see or retain your credit card details as these are handled by PayPal.
When someone visits toeandheel.com, a third-party service, Google Analytics, is used to collect standard internet log information and details of visitor behaviour patterns. This information is only processed in a way which does not identify anyone.
Data processors are third parties who provide services for us. We have contracts in place with our data processors. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will not share your personal information with any organisation apart from us. They will hold it securely and retain it for the period we instruct.
The toeandheel.com website uses third-party services (Joker.com) to host the website. Joker.com is contractually obliged to treat any information as confidential and only use such information for the purpose of providing web hosting.
Where PayPal is used to take payments, only sufficient information to complete the purchase is shared with PayPal. We do not see or retain your credit card details as these are handled by PayPal.
This Privacy Notice does not cover links within the toeandheel.com site to other websites. We encourage you to read the privacy statements on other websites you visit.
Your personal information will be stored in the EU and in accordance with the GDPR.
The GDPR applies to EU residents. If we share personal information of EU residents with suppliers or third parties outside of the EU, we will ensure that they meet the requirements of the GDPR.
We are committed to complying with the data regulations of non-EU residents according to their jurisdiction.
We have implemented technical and organisational security measures to protect your personal data against unauthorised access, loss or misuse.
We try to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive very seriously. We encourage people to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate. We would also welcome any suggestions for improving our procedures.
This privacy notice was drafted with brevity and clarity in mind. It does not provide exhaustive detail of all aspects of our collection and use of personal information. However, we are happy to provide any additional information or explanation needed. Any requests should be sent to the address below.
Confidentiality will be preserved during the investigation of a complaint to safeguard the interests of everyone concerned unless disclosure is necessary to progress the complaint.
We try to be as open as possible in terms of giving people access to their personal information. Individuals can find out if we hold any personal information by making a 'subject access request' under the Data Protection Act 1998.
If we hold information about you, we will:
- Give you a description of it
- Tell you why we are holding it
- Tell you who it could be disclosed to
- Let you have a copy of the information in an intelligible form
To make a request for any personal information we may hold, you need to put the request in writing to the address provided below.
If you agree, we will try to deal with your request informally, for example by providing you with the specific information you need over the telephone.
If we do hold information about you, you can ask us to correct any mistakes.
We may make a charge of up to £10 for a request.
Except as described in this Privacy Notice, we will not disclose personal data without consent.
We may disclose your information to governmental agencies or entities, regulatory authorities, or other persons in line with any applicable law, regulations, court order or official request.
By entering one of our events and receiving an annual (returnable) trophy/shield/other award (hereafter referred to as "trophy"), you accept the following responsibilities:
1. You are responsible for returning the trophy in the same condition as it was in when it was presented to you.
2. You are responsible for returning the trophy in good time for it to be presented at the next competition.
3. Should you fail to return the trophy in good condition and in time for its presentation at the next competition, this will result in a fine of £50 to be paid by you to the competition organiser. This fine will be non-negotiable.
4. The responsibility to return the trophy falls on the individual who has accepted receipt of the trophy - the dancer or their parent/legal guardian. Passing the trophy to a third party for its return does not absolve you of your duty to return until the trophy has been physically returned to the organiser.
For the purposes of this section, the term 'you' includes the dancer, the dancer's parent(s), ward(s) or guardian(s).
Without expectation of compensation or other remuneration, now or in the future, I hereby give my consent to toeandheel.com, toeandheel entries Limited and Tayfirth Festivals, its affiliates and agents, to use my image and likeness and/or any interview statements from me in its publications, advertising or other media activities (including the Internet). This consent includes, but is not limited to:
(a) Permission to interview, film, photograph, tape, or otherwise make a video reproduction of me and/or record my voice;
(b) Permission to use my name; and
(c) Permission to use quotes from the interview(s) (or excerpts of such quotes), the film, photograph(s), tape(s) or reproduction(s) of me, and/or recording of my voice, in part or in whole, in its publications, in newspapers, magazines and other print media, on television, radio and electronic media (including the Internet), in theatrical media and/or in mailings for educational and awareness.
This consent is given in perpetuity, and does not require prior approval by me.
We expect that photographs will be taken during the award presentation ceremonies at most, if not all, of our events. Official photos, which will be used to generate publicity for the events and to share the dancers' successes, will be taken by the organiser and shared on social media. At this time, parents, teachers and other individuals in the hall are normally invited to take photos if they would like to. The photographs, although intended to be of the dancers, may at times capture other individuals in the room - please be aware of this when you enter the halls.
It should be noted that this event may be livestreamed.
For the purposes of this section, the term 'my' includes the entrant, the entrant's parent(s), ward(s) or guardian(s) and any other accompanying individuals.
We are committed to creating a safe and enjoyable experience for all.
All performers, teachers, parents and other spectators are expected to conduct themselves in a professional, responsible and respectful manner at all times and to comply with the Rules and Regulations and the Code of Ethics of this Event and of the RSOBHD as far as they are relevant.
Changing rooms should be kept neat and tidy and no one is permitted to touch, move or vandalise anyone else's property.
Performers, teachers, parents and other spectators must not engage in intimidating or threatening behaviour or make disrespectful or derogatory comments to any other performers, teachers, other spectators or volunteers.
Behaviour that is deemed harmful to others including verbal or physical harassment, abusive language, gestures or threats directed at others and disruptive to our communal sense of belonging will NOT be tolerated. Anyone found to be in violation may be removed from the premises and prohibited from returning in the future.
Anyone attending ANY of our events is expected to respect ALL performers including, but not limited to, those who they are there to watch. Spectators are expected to remain in their seats during the performance and should only enter and exit when the performer has finished.
Photography and video recording of performances is only permitted after official authorisation has been sought and granted and should be done respectfully and ONLY of your own studio or child. If we are made aware of failure to comply, we reserve the right to prohibit photography and video recording.
